With charting, a lot depends on the data layout. You need a dynamic chart. Looking at a formula out of context is useless. You need to show us your data structure. Use a file sharing service and upload a sample, then explain what you want to achieve in context.

Why not use helper columns? They're easy to maintain and can be hidden. And yes, you might need more than one, but what's the problem? At least you (or your successor) will have no problems understanding helper columns in a year's time, whereas a formula with nested Sumproduct/Subtotal/Offset/Search will be harder to understand. If you are worried about performance: The Offset does more harm than a few helper columns. It is volatile and will cause the whole sheet to recalculate on EVERY change.

May I ask why you want to avoid this? It's the easiest way to populate data validation drop-downs. Stick it in a hidden sheet and you're done. Add to the list as required. What would you want as an alternative? A named formula that produces an array of values? VBA?

You don't need to do that. You can add the empty data values to the end of the source table. It only needs to be somewhere in the data source, not slotted in perfectly.

If you don't have a printer installed, Excel will use some default printer settings to try and render the file in print preview. If you install a printer driver for a printer that will most likely be used to print the file on another computer, then install that printer driver for a more accurate print preview.
