You seem to want to mix interactive and batch actions so I'm not sure what you want. If you want to crop visually then use display from imagemagick/graphicsmagick but I think you would have to go through every image individually that way. Or do one and make a note of the required parameters and do the rest in batch.

Is this a fresh document or does it contain lists pasted from elsewhere? The later can play havoc with list styles. Otherwise, agree with David that you need to either set up a suitable Style or create a new template with the default list settings the way you want them.

I'm afraid that Outlook on it's own is not really going to help here. If you are using Office, you should have access to OneNote and that is much better for what you want. Simply create a notebook on a shared drive, SharePoint, Dropbox or whatever where everyone can get to it. Everyone can edit notes and their initials will appear beside the paragraphs they edit. You can do simple todo lists and even sync the lists to outlook tasks. If you want more, you need to be using a full collaboration platform such as SharePoint, you might try Office 365 for that.
